ABOUT THE ROLE

The Clinician Schedule Coordinator is responsible for maintaining optimal clinician schedules to support patient retention and ensure continuity of care. This position plays a key role in monitoring booking availability, identifying scheduling conflicts, and managing rescheduling needs for both new and established patients. The Clinician Schedule Coordinator will bring strong organizational and communication skills and will work closely with internal teams to ensure accurate appointment types, durations, and scheduling workflows that promote timely patient care and provider availability. 

 

WHAT YOU’LL DO

  • Monitor clinician schedules daily to ensure required booking hours are available for both new and established patient appointments.  
  • Manage and maintain current patient rescheduling lists; conduct outreach to patients needing rescheduled or follow-up care, with a focus on retention and continuity of care.  
  • Proactively identify and resolve scheduling conflicts, gaps, and overbookings to optimize appointment distribution and efficiency.  
  • Own the clinician rescheduling process, including managing rescheduling requests from clinicians to ensure prompt rebooking.  
  • Maintain and actively manage waiting lists and backfill lists to fill last-minute cancellations and maximize appointment utilization.  
  • Track and monitor patients needing follow-up appointments to ensure timely scheduling with their assigned clinician.  
  • Conduct outreach to established patients due for follow-up who have not yet scheduled, filling scheduling gaps and supporting care continuity.  
  • Support clinician onboarding and offboarding by adjusting schedules, coordinating patient transitions, and managing appointment coverage needs as needed.  
  • Maintain accurate appointment types and durations to ensure effective scheduling workflows and minimize appointment gaps.  
  • Monitor clinician availability and booking trends; flag patterns, gaps, or opportunities to improve scheduling efficiency and patient access.  
  • Performs other duties as needed 

 

WHAT WE’RE LOOKING FOR

  • 5+ years of experience in healthcare, patient coordination, telehealth, call center, or scheduling roles. 
  • Highly organized, detail-oriented, and thrives in environments where they can bring order to moving pieces. 
  • Ability to use proactive thinking to catch potential issues before they happen and ensure both patients and clinicians have the best possible experience. 
  • Self-starter with strong attention to detail, an ability to manage many priorities simultaneously, and a proactive problem-solving mindset. 
  • Experience working with EMRs, scheduling tools, or calendar-based systems preferred but not required. 
  • Strong organizational skills and the ability to manage complex, multi-provider schedules. 
  • Excellent attention to detail and follow-through. 
  • Confident decision-maker with good judgment in resolving scheduling issues and prioritizing urgent changes. 
  • Clear, professional written communication for internal and external interactions. 

 

POSITION LOGISTICS

  • 100% remote position
  • Reports to Supervisor, Care Navigation
  • Required to have a private office space in home or elsewhere for confidentiality

 

COMPENSATION AND BENEFITS

  • The pay range for this role is $52,800 - $58,000 annual. This information reflects the anticipated salary range for this position using current market data. The final offer will be determined based on an individual's skills, years of experience, education, capacity, licenses, and other job-related factors permitted by law.
